How to run the surplus desk

This is the everyday yard book. Add a machine, change hours or photos, mark under offer or sold, and answer buyers from the plant inbox. You do not need WordPress admin or Elementor for stock.

How the product works

There is one stock book. The desk writes it. The shop, the catalog, and the sitemap all read the same book. You Save once. Buyers, Google, and ChatGPT do not use a second list.

  • Desk — staff add a machine, change hours or yard, upload photos, mark under offer or sold.
  • Shop — buyers browse, open a machine, Make offer, Email us, or Call RTL on (03) 5136 1000.
  • Catalog and sitemap — a plain text list and a machine URL list, updated when you Save. Google and AI read these. No asking prices.
  • Inbox — offers and questions land in plant@rtl.com.au. Reply from that mailbox. Nothing is charged on the website.

Asking and sold prices stay on the desk. Hours and kilometres are last recorded. RTL can assist with transport; the buyer pays those costs.

What happens automatically when you Save

Once Google Search Console is pointed at the shop sitemap, you do not re-index by hand for each new unit.

  • The public shop updates on the next load.
  • A real page is created at /surplus-plant/plantno/ (example: /surplus-plant/gr8103/).
  • The catalog and the machine sitemap pick up the new plant number, make, model, and yard.
  • If a first JPEG is on the machine, that photo is used when someone shares the link. No asking price on the shop, catalog, emails, or share cards.

Google and ChatGPT only name a new machine after they recrawl (days, not hours). You still only Save on the desk.

Add a machine

  1. On the desk, tap Add a machine.
  2. Plant number first — that is the name on the shop (EX8108, GR8103).
  3. Fill year, make, model, category, yard, hours (SMU) and/or kilometres as last recorded.
  4. Weights, engine, and deficiencies only appear on the shop if you fill them.
  5. Leave Sale status on Available if it is for sale.
  6. Tap Save this machine. Then refresh the shop to check.

A dark card on the shop means photos are still to come. Add JPEGs when you have them.

Photos

Save the plant number first, then add a JPEG on the same machine. Files are stored as PLANT-1.jpg, PLANT-2.jpg, and so on. Photo 1 is the shop card and the share picture. JPEG only.

Sale status

AvailableMachine is available for sale and appears in the public shop.
Under offerStill on the shop and available for enquiries, but an offer is currently being considered.
SoldMachine has been sold. It remains in the desk records but is not treated as available.
UnavailableMachine is temporarily unavailable for sale or cannot currently be offered to buyers.
WithdrawnMachine has been withdrawn from sale. Keep the record for internal history but do not treat it as available.

There is no separate “unavailable” button. Mark Sold to take it off the available list, or Under offer if it is still in play.

Asking and sold prices

These stay on this desk. They do not appear on the shop, in emails, in print, or in Google previews. Do not put a dollar figure in the condition note.

Buyer emails and offers

Make offer and Email us send to plant@rtl.com.au. Reply from that mailbox. Call RTL on (03) 5136 1000 if they asked for a phone. Keep the selling conversation in that email thread. The Condition note is shown to buyers — only write what they should read.

Suggested weekly rhythm

  • Add a new unit as soon as plant number, make, model, and yard are known. Photos can follow.
  • When an offer is serious, set Under offer. When accepted, set Sold and write the sold price here.
  • Each morning, open plant@ and reply the same day if you can.
  • After a yard walk, update hours / kilometres as last recorded.
